Terms and Conditions
The website and the services presented under the Romanian Wild Experience brand are operated by Bio Life Carpathia SRL, hereinafter referred to as "Bio Life Carpathia" or "the Operator".
This document sets out the conditions applicable to requesting, booking and taking part in the wildlife experiences, private tours, accommodation services and other services presented on this website.
By sending a request and subsequently confirming a booking, the client acknowledges and accepts these Terms and Conditions, to the extent permitted by applicable law.
1. Booking wildlife experiences
An experience can be requested by phone, WhatsApp, email or through the form on this website.
Sending a request does not constitute a confirmed booking.
A booking is considered confirmed only after Bio Life Carpathia SRL confirms availability, conditions and the price of the experience, and the agreed payment is received in the company account or, where previously agreed, paid in cash.
Once the booking is confirmed, the client receives all necessary information regarding the experience.
2. Payment
Services can be paid by bank transfer to the account of Bio Life Carpathia SRL, or in cash where this method has been agreed in advance between the parties.
The payment method, the amount and any conditions regarding the deposit or full payment are communicated to the client before the booking is confirmed.
Bio Life Carpathia SRL issues the corresponding fiscal documents for the services purchased, in accordance with applicable law.
A booking is considered confirmed once the payment conditions agreed between the parties have been met.
3. Cancellation by the client
The client may request the cancellation of a booking no later than 15 calendar days before the start date of the wildlife experience.
In the event of cancellation less than 15 calendar days before the start date, the amount paid is not refunded, except where applicable law provides otherwise.
Depending on the specific circumstances, Bio Life Carpathia SRL may decide, without being obliged to do so, to offer an alternative solution such as rescheduling or a voucher/discount for a future experience.
4. Rescheduling
The client may request the rescheduling of an experience no later than 15 calendar days before its start date.
Rescheduling depends on availability for the new period and is only effective once confirmed by Bio Life Carpathia SRL.
Where the new period involves changes to prices, season, accommodation or included services, these are communicated to the client before the rescheduling is confirmed.
5. Weather conditions and unforeseen circumstances
The experiences organised by Bio Life Carpathia SRL take place in a natural environment and may be influenced by weather conditions, the state of the terrain and other circumstances beyond the Operator's control.
In the event of extreme weather or of situations that make the experience impossible or unsafe, Bio Life Carpathia SRL may modify, postpone or stop the activity.
In such situations, Bio Life Carpathia SRL will seek to agree the most suitable solution with the client: rescheduling the experience, special offers for a future experience, a discount for a later experience, or other mutually agreed solutions.
The safety of participants and the protection of wildlife always take priority.
6. Wildlife observation
The experiences offered by Bio Life Carpathia SRL take place in the natural habitat of wild animals, on tourist routes, on properties managed by associations, or on the private properties of our partners.
Seeing a particular species or a particular animal cannot be guaranteed.
The presence and behaviour of wildlife depend on natural factors including: the season, weather conditions, animal activity, habitat, food availability, the individual behaviour of the animals, field conditions and the level of human activity in the area.
Bio Life Carpathia SRL uses observation methods and strategies adapted to the target species and the existing conditions, but wild nature cannot be controlled or predicted with certainty.
The fact that a particular species is not observed does not in itself constitute a failure to provide the service, where the activity was carried out according to the agreed programme and conditions.
7. Accommodation
Depending on the chosen experience, the period and the client's options, accommodation may be provided in units classified from 3 to 5 stars.
The type of accommodation, its category, the available facilities and the applicable rate are communicated to the client before the booking is confirmed.
For private tours, accommodation can be personalised according to the client's preferences and the availability of the accommodation units.
8. Private tours
Private tours are personalised experiences, built according to the client's preferences, objectives and requirements.
The details of a private tour may include: the period, the duration, the target species, observation methods and strategies, accommodation, transport, meals, wildlife photography, landscape photography, night observation, the use of specialised equipment, visits to tourist landmarks, local activities and other requested services.
All details of private tours are agreed in writing, by email or written messages.
The price of the private tour and of the included services is set individually and communicated to the client in writing before the booking is confirmed.
The offer accepted in writing by the client forms the basis for organising the experience.
9. Wildlife strategy
Before a private tour or a wildlife experience, the observation strategy may be agreed together with the client, based on: the target species, the season, field conditions, photographic objectives, the duration of the experience and the desired level of difficulty.
The agreed strategy is however always subordinated to the rules and instructions of the guide, as well as to safety and wildlife protection rules.
10. Rules and guide instructions
Throughout the experience, the guide's instructions are mandatory for all participants.
Failure to follow the guide's instructions may lead to the activity being stopped without refund, where a participant's behaviour endangers the safety of the group, the guide or the wildlife.
Participants are responsible for their own physical condition and for declaring any relevant medical conditions before the experience begins.
11. Applicable law
These Terms and Conditions are governed by Romanian law.
Any disputes will be resolved amicably or, failing that, by the competent courts in Romania.
